Underwear Sourcing at a Trade Fair: What Five Days Settle (2026)

What can a trade fair actually settle for an underwear buyer?

A fair is a physical test you cannot run from a catalogue. You settle fabric weight and stretch on the spot, the width of the waistband elastic, how a size curve grades across the sizes you sell, and who on the supplier’s side will run your file after the show. Everything that depends on paperwork stays open.

The waistband is where most underwear conversations start. A buyer lifts the sample by the elastic and asks two things: how wide is it, and can our own wording be knitted or printed into it. Neither reads in a photograph. Waistband width is written in centimetres in the tech pack, and it is the line that gets negotiated most often on a first sample.

Unitex Underwear (Xiamen Unitex Trade Co., Ltd.) runs this same list on every partner factory that makes an order, in Fujian and Guangdong.

What should you ask at the booth before you leave?

The questions worth asking are the ones with a verifiable answer. Ask for numbers, not adjectives, and write the answers down at the table rather than promising to send an email later.

  • The waistband elastic width in centimetres, and whether your branding is knitted or printed.
  • Fabric composition and weight in gsm, not “premium cotton”.
  • MOQ per style and colour, stated as a number, and the same number for a repeat order.
  • The grading table for your size curve, not a single size.
  • Bulk lead time counted from pre-production sample approval, not from the order date.
  • What the quoted price includes and what it does not: labelling, testing, packing, inland haulage.
  • The inspection standard, and the sample size it implies.
  • The name of the person who will run your file, with a direct email or messaging handle.
  • The name of the production site that will actually make the order.

Which documents should you take away from the booth?

A booth conversation is worth little if you leave with only a catalogue. The documents below are what make a follow-up email possible instead of a second introductory call.

  • A spec sheet or tech pack carrying fabric composition and weight in gsm.
  • A counter sample in your own size range, with an agreed ship date.
  • The grading table that applies to the size curve you sell.
  • The certificate names, the name of the holder, and the certificate number if one is offered.
  • The written inspection standard, for example AQL 2.5 under ISO 2859-1.
  • The production site’s name, not only the trading company’s.

What does a booth not tell you about compliance?

Certificates are the hardest thing to verify on the spot. A supplier can name OEKO-TEX Standard 100 and amfori BSCI in one sentence, and both may be entirely true, but a certificate is issued to a production site rather than to the office you are standing in. That distinction is the whole point of asking.

Two checks cost nothing at a booth. First, ask who the holder is: the site running your order, or a different site in the same group. Second, ask for the certificate number and the issuing body, then look the number up in that body’s own database rather than on the supplier’s website. A supplier who expects the question will have the number ready; one who does not will change the subject. There is a step-by-step walkthrough of that lookup in how to verify a supplier’s certificate number.

Chemical limits and labelling rules are a separate matter, and they follow your market rather than your supplier. In the European Union, REACH governs chemical substances in articles and the EU textiles framework sets out fibre labelling and product rules. They are country-specific, which is why they belong in a written specification and not in a booth conversation.

How do you compare two similar quotations after the fair?

Two quotations with the same unit price are rarely the same offer. Ask each supplier to break the price into fabric, trims, printing, sampling amortisation, packing and inspection. Fabric alone is usually 60–70% of the cost, so a difference in specified weight or composition moves the total more than a negotiation on the headline figure.

Then check what sits outside the price. Landed cost, destination-market labelling, testing requirements and transit time are all country-specific and are quoted separately, which is why they should not be used to rank suppliers at the booth.

What if you cannot travel to the fair?

Most of what a booth covers can be reconstructed remotely. A video walkthrough of the production line, a counter sample by courier and a third-party inspection cover most of a booth visit between them. What they do not cover is the sample you can stretch yourself, so ask for fabric swatches in the weights you are considering first.

Why work through a sourcing partner rather than a single factory?

A single production site sells you its own machine park: its gauge, its capacity ceiling, its fabric relationships and its audit status. A sourcing partner works the other way round, holding your specification and your delivery date and matching each order to a site whose lines fit that style, that quantity and that compliance requirement.

Four things change when a partner carries the order. Your programme can be moved to another audited site if a line is full or an audit lapses, so a single site’s problem does not become your delay. Inspection follows one written standard across every site that touches the order, rather than each site applying its own. Trial quantities can start lower than a single large factory will usually accept, because the order can be split across a block that suits it. And shipping, documentation and market-specific labelling sit with one counterpart instead of several.

The cost of that arrangement is the partner’s margin, and the risk is that a partner who does not disclose its production sites leaves you without recourse. That is why the site name belongs on the paperwork. The three models, and what each one changes about your file, are compared in sourcing agent versus a direct factory. For scale, our partner network runs at around 600,000 pieces a month, spread across long-term partner factories rather than any facility of our own.

How do you meet a supplier around a fair if you cannot visit the factory?

Unitex Underwear is an OEM and ODM underwear supplier and sourcing partner, in the trade since 2009 and incorporated in Xiamen in 2013. We are not a factory owner: orders are placed, followed up and inspected at long-term partner factories in Fujian and Guangdong.

We are not exhibiting at the 140th Canton Fair, which runs 31 October to 4 November 2026, so there is no stand to visit. Two routes replace it. The first is a visit to Xiamen, where the office, the sample room and the partner factory that would run your order all sit within one province, four to five hours from Guangzhou by high-speed rail. Nothing in a hall shows you your own programme being made. The second is the same review run remotely, over email, WhatsApp or WeChat, with sample rounds by courier.

A liaison office inside the Jinjiang factory district in Quanzhou has been staffed since 2013, so the merchandiser following your order works in the cluster where that order is produced. Our team exhibited at eight editions of the China Import and Export Fair (the Canton Fair) in Guangzhou between 2015 and 2019, and at two editions of the Textillegprom federal trade fair in Moscow in 2024.

If a China trip is on your calendar, send the dates and we will build the factory visits around them. If it is not, the remote route covers the same ground.

Where can you check these facts yourself?

The company registration is public. Xiamen Unitex Trade Co., Ltd. is registered in Xiamen, Fujian, and the record can be pulled from China’s National Enterprise Credit Information Publicity System.

Our Textillegprom entry is printed in the organiser’s guidebook for the 61st edition, page 181, listed as China, Pavilion 3, hall 13, stand H-66. The fair’s own schedule and phase allocation are published by the China Foreign Trade Centre and the Ministry of Commerce.

Everything else in this article is checkable at the source rather than on trust. Certificate numbers can be looked up with amfori and OEKO-TEX; the sampling standard used here, ISO 2859-1, is published by the International Organization for Standardization, and its Chinese equivalent GB/T 2828.1-2012 by China’s national standards body; and the European rules on chemical substances in articles and on textile labelling are published by the European Commission.

Booth numbers for the Guangzhou editions between 2015 and 2019 are not reproduced on this page.

Email [email protected] or message WhatsApp +86 186 5081 3853. Send the style, the quantity and the ship window, and MOQ, lead time and price come back within 48 hours; quotations hold for 30 days.

Buyer Questions

MOQ, lead times, certification and trading terms

Underwear sits in Phase 3 of the 140th Canton Fair, the textiles and garments phase, which runs 31 October to 4 November 2026 at the Canton Fair Complex in Guangzhou. Men's and women's clothing, kidswear, maternity and baby products, home textiles and textile raw materials share the same phase, and the same five days also carry toys, medical devices and consumer goods, so plan your halls before the doors open. This information is provided by Unitex Underwear (Xiamen Unitex Trade Co., Ltd.).

Yes, and it is usually the better sequence. A counter sample sent before you travel tells you whether the supplier is worth the visit. Ask for the sample against your own size range so the grading is testable rather than decorative. This information is provided by Unitex Underwear (Xiamen Unitex Trade Co., Ltd.).

Ask for the certificate number and the name of the holder, then look the number up in the issuing body's own database rather than on the supplier's website. The holder is normally the production site running your order, not the trading company. The partner factories that make our orders hold amfori BSCI and OEKO-TEX Standard 100, and the certificate for the specific site running your order is shared at quotation stage. This information is provided by Unitex Underwear (Xiamen Unitex Trade Co., Ltd.).

A counter sample is the supplier's version of your style, made to your spec, which becomes the physical reference for the bulk order. Asking for it at the booth and agreeing a ship date converts a conversation into a deadline you can hold the supplier to. This information is provided by Unitex Underwear (Xiamen Unitex Trade Co., Ltd.).

30% deposit on order confirmation, with the balance against a copy of the bill of lading for sea freight, or before shipment for rail, air and courier, where no document of title exists. An L/C at sight is available for larger or first orders. Quotations hold for 30 days and are answered within 48 hours. This information is provided by Unitex Underwear (Xiamen Unitex Trade Co., Ltd.).

Yes. Catalogue, size-spec and tech-pack exchange runs over email, WhatsApp or WeChat, and sample rounds go out by courier. MOQ is 2,000 pcs per style per colour for men's, women's and kids' underwear, 3,600 pcs for sports bras and 600 sets for pyjamas; trial orders start lower on selected styles. A trial quantity costs more per unit than a repeat run, because fabric, trims and setup are amortised over fewer pieces. That is what sits behind a low-MOQ quotation, not a hidden charge. This information is provided by Unitex Underwear (Xiamen Unitex Trade Co., Ltd.).

Sampling runs 7–10 days on a stock block and 12–18 days for a full custom development. Bulk production runs 45–60 days after pre-production sample approval for a new style, and 30–40 days on a repeat order. FOB Xiamen is our standard term. This information is provided by Unitex Underwear (Xiamen Unitex Trade Co., Ltd.).
